Office or other indoor work area -- 100%. This is an on-campus position. The selected candidate must be physically available to work at the University of South Florida (USF) campus. Remote or hybrid work is not available for this role.

The Center for Urban Transportation Research (CUTR) is a primarily grant-funded research unit in the USF College of Engineering with 100+ employees, $14 million in annual grant funding, and $500,000 E&G funding. CUTR serves the academic community, the public, and government agencies and departments in accordance with its implementing legislation, ยง334.065, Florida Statutes

Position Summary
\n
The Staff Assistant will report directly to CUTR's Assistant Director of Business and Finance Administration. This position is responsible for providing a broad range of complex administrative support services, including coordinating meetings, workshops, and other CUTR-related events, as well as overseeing various Building Management responsibilities. The role demands a high level of organizational skill and attention to detail, as it involves managing tasks with significant logistical complexity. The Administrative Specialist is expected to exercise sound judgment and discretion, especially when acting on behalf of the CUTR Executive Director or Associate Director.Minimum Qualifications:

This position requires a high school diploma or equivalent, with two or more years of experience in an office or administrative support position. College or other relevant post-secondary coursework may substitute for the experience requirement on a year for year basis. Testing may be required to assess competency on word processing software.

Preferred Qualifications:

Candidates with prior administrative support experience at USF.

  • Manages CUTR's conference room scheduling, assists with building management tasks including work orders, and oversees office space allocation and setup for new hires or moves.

  • Supports the Assistant Director in logistics and other elements required for CUTR Advisory Board meetings and other events, including the Annual CUTR Transportation Achievement Awards.
  • \n
  • Handles shipping and mail duties, maintains office supplies and equipment, coordinates reservations for high-profile meetings and VIP parking, and runs campus errands for CUTR.
  • \n
  • Supports proposal preparation and coordinates administrative processes, including obtaining required signatures and approvals for research, travel, and compensation forms.
  • \n
  • Manages key and swipe access for new hires, maintains USF space and key inventories, tracks unscanned assets, and coordinates employee anniversary gifts.

  • Performs other duties as assigned.
