Role Description:

Arcadis is seeking a motivated and detail-oriented Administrative Assistant to join and support our team in the New York / New Jersey area. This position will work full-time in our client's office.

Arcadis is a part of the MPA Delivery Partner team, charged with supporting the Gateway Development Commission delivering the Hudson Tunnel Project (HTP). We are building this delivery team by combining our existing global and local experts and bringing on the additional required talent that will be necessary to deliver HTP. We are seeking to engage technical experts excited by this opportunity who would like to join our locally based teams in New York and in New Jersey.

Role Accountabilities:

  • Assist project managers and team members with administrative tasks, including document preparation, report generation, data entry, and correspondence.
  • Coordinate meetings, appointments, and travel arrangements for project staff, visiting teams, and stakeholders.
  • Maintain project files, records, and databases, ensuring accurate and efficient documentation of project activities.
  • Manage incoming and outgoing project correspondence, emails, and phone calls, directing inquiries to the appropriate personnel.
  • Support procurement activities, including purchase orders, invoices, and vendor coordination.
  • Assist in organizing project events, team building activities, and office functions to foster a positive work environment.
  • Collaborate with internal departments, contractors, and external partners to facilitate communication and information flow.

Required Qualifications:
  • High school diploma or equivalent; additional certification in Office Administration or related field is a plus.
  • Proven experience as an Administrative Assistant, Office Administrator, or similar role, preferably in a construction or engineering environment .

Key Skills and Abilities:
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint), email management, and office software.
  • Strong organizational skills, attention to detail, and ability to multitask effectively in a fast-paced environment.
  • Excellent communication, interpersonal, and teamwork abilities.
  • Ability to maintain confidentiality, handle sensitive information, and prioritize tasks efficiently.

Arcadis offers benefits for full time and part time positions. These benefits include medical, dental, and vision, EAP, 401K, STD, LTD, AD&D, life insurance, paid parental leave, reward & recognition program and optional benefits including wellbeing benefits, adoption assistance and tuition reimbursement. We offer nine paid holidays and 15 days PTO that accrue per year. The salary range for this position is $60,000 - $90,000. Actual salaries will vary and are based on several factors, such as experience, education, budget, internal equity, project and location.
