Administrative Assistant (Finance)



Job Objectives:

As Administrative Assistant, support the New York office with various administrative needs.  Position reports to the Executive Assistant of North American Casualty & North American Professional Lines Divisions and will also provide support to other senior level executives in the office.

Duties and Responsibilities:

  • Answering all incoming calls to the team switchboard, taking messages and transferring calls to the appropriate department
  • General office work such as filing, photocopying, daily mail duties, faxing, typing correspondence, memos, reports and presentations
  • Maintain Office space
  • Organizing and maintaining files
  • Completing expense reimbursements for Senior Executives, as well as AMEX card monthly reports
  • Making travel and hotel arrangements for Senior Executives in the office
  • Calendar management for Senior Executives in the office
  • Scheduling meetings and arranging video/conference calls.  Place catering orders for meetings
  • Update and reserve shared conference rooms via centralized calendar booking system
  • Placing guests on the building visitor log via reception and welcoming guests when they arrive
  • Assist visiting executives as required
  • Other duties and special projects as required

Compensation:

The below annualized base pay range is a broad range based on analysis of similar positions in the market.  The actual base pay for the position may be above or below the listed range and determined by a number of considerations, including but not limited to complexity, location, and scope of the role, along with experience, skills, education, training, and other conditions of employment.  Base salary represents one component of Allied World's comprehensive total reward package, which may also include annual incentive compensation rewards.

$80,000 - $100,000

Requirements:

  • Knowledge of administrative practices procedures and office management skills, as typically acquired through three or more years of administrative experience

  • Excellent interpersonal skills at all levels of business, including interacting with staff and external business parties

  • The ability to work independently and efficiently

  • Excellent organizational skills

  • The ability to handle high profile relationships with a professional demeanor

  • Computer skills including Microsoft office, Word, Excel, and PowerPoint

  • High degree of flexibility
