Medical Case Administrator Specialist (Level III) (Administrative)

Leidos QTC Health Services is seeking a Medical Case Administrator Specialist (MCA-III) on our Disability and Occupational Health team.  Working under limited supervision, the Medical Case Administrator performs a variety of routine and non-routine customer support activities in support of a specific project/business/technical unit.  Responsible for scheduling appointments, uses software for functional area to schedule appointments and document in the case management systems, and delivers exceptional customer service at all customer touch points.  Provides quality assurance and review of reports for accuracy per established guidelines.

Primary Responsibilities:

  • Accept, triage and process referred cases from clients via phone, email and/or faxes received, may require general research and analysis
  • Schedule claimant appointments including follow-up, and rescheduled appointments, and utilize map applications to ensure scheduling per contract and company guidelines
  • Enter appointment information, notes, and appropriate CPT codes into case management systems
  • Ensure all examinees and providers receive necessary documentation
  • Confirm all consultative reports and diagnostic test results are received and uploaded in the case management system in a timely manner
  • Provide quality assurance and careful review of examination reports to ensure reports are complete, clear and consistent
  • Meet or exceed contract timeliness guidelines in both scheduling and case management systems
  • May help lead/mentor lower level peers in regards to standard workflows
  • Perform other duties and responsibilities as assigned

Required Qualifications:

  • High School diploma, or equivalent (GED)
  • 3 to 5 years of experience with electronic medical scheduling and/or case management software
  • Must be able to pass a federal background check and/or obtain and maintain additional clearances as specified by the contract (e.g., NACI, PIV, SMS, TMS)

Preferred Qualifications:

  • Experience within Healthcare and/or government contracts 
  • Ability to effectively manage competing priorities in a fast paced environment, and superior follow through skills
  • Possess excellent verbal and written communication skills
  • Demonstrated strong customer service skills
  • Knowledge and understanding of medical terminology
  • Knowledge of Windows Operating System, Microsoft Office applications, Outlook, Excel, Word
  • Detail-oriented and possesses the ability to effectively plan, prioritize, and organize their work
  • Must be self-motivated, and possess exceptional interpersonal skills
  • Demonstrated ability to effectively exercise critical thinking skills

Additional Information:

  • Location: San Dimas Headquarters: 924 Overland Ct, San Dimas, CA 91773
  • Training: 4 to 6 weeks ONSITE with a HYBRID schedule after completing training
  • Shift: 7:00 AM to 3:30 PM Pacific Time
