We are looking for a highly motivated, diligent, and skilled individual to join the Global Retirement and Insurance (GRI) Technology and Service organization, as Executive Assistant to the Chief Information and Technology Officer.

Success in the Executive Assistant role includes exercising superior judgment based on in-depth experience, advanced technical proficiency, and exceptional time management skills. The Executive Assistant will be focused on developing strong, collaborative relationships across multiple constituents. 

Impacts You'll Have: 

  • Support the VP, GRI Chief Technology & Information Officer by managing all day-to-day matters including but not limited to calendar management, complex meeting logistics for internal, external, and international appointments, and being proactive in calling attention to critical meetings that require preparation  

  • Maintaining a regular open line of communication (via email, text, phone, face-to-face conversations) with the executive to jointly manage strategic priorities, time management, calendaring, meetings with partners, assisting with various approvals, and all other priorities 

  • Demonstrate strong business acumen and organizational savvy to effectively prioritize and manage requests; provide the appropriate degree of flexibility and ensure follow-through on issues in a timely manner 

  • Handle logistics for team meetings, including anticipating technology needs and hybrid-work environment concerns, assist with preparing materials, and tracking meeting attendees 

  • Manage special projects such as senior level events, external presentations, and speaking engagements; prepare and coordinate communications 

  • Handle confidential information and appropriately communicate sensitive information to members of the principal's organization and Senior Management 

  • Act with a high level of professionalism in representing and handling in-person, virtual and email communications 

  • Work collaboratively with other administrative staff, project coordinators or support functions 

  • Act as a trusted partner and demonstrate sensitivity for confidential matters discussed or shared; maintain and ensure the integrity and confidentiality of all information and data 

  • Develop and maintain strong, credible relationships across the firm 

  • General Administration 

  • Coordinates any travel 

  • Manages Executive expenses & submits invoices for payment to vendors 

  • Submits ISAMS (Information Security Request) as needed  

  • Submits GETS reporting and approvals 

  • Coordinates the purchase of office supplies in accordance with company purchasing policies and budgetary guidelines 

  • Facilitates technology support between GRI Chief Technology and Information Officer and GT-dedicated resources 

  • Assists with ad hoc projects, as needed 

 

Competencies – Knowledge, Skills, Abilities: 

  • Significant prior, relevant work experience, supporting diverse, global teams and senior executives 

  • Superior proficiency with technology skills, specifically in the use of Microsoft 0365 Suite (Outlook, Word, PowerPoint, Excel, SharePoint, and Teams), other virtual collaboration tools (e.g., Zoom), Workday and the ability to learn necessary Prudential applications 

  • Strong organizational awareness and ability to build relationships 

  • Proactively monitor calendars for conflicts or reprioritization, keeping executives informed of upcoming commitments and responsibilities, and making necessary adjustments 

  • Strategic thinking while managing tasks and linking the work across functions and businesses 

  • Strong attention to detail, task follow-through and quality of work 

  • Self-motivated. Demonstrates initiative and anticipates issues, provides realistic solutions, employs sound judgment, and makes timely decisions 

  • Strong time management skills and ability to meet tight deadlines while managing multiple tasks 

  • Knows when to make decisions themselves and when to “escalate” 

  • Willingness to continue to learn; embraces change and enterprise transformation efforts 

  • Ability to navigate meetings and commitments occurring in different time zones, plan complex global travel 

  • Flexibility to work overtime as needed, especially when GRI, Chief Information and Technology Officer is traveling internationally  

The current EWA for this position is Hybrid (Newark) and requires your on-site presence on a reoccurring basis as determined by your business. Your manager will provide additional details relative to the specific number of days you are expected to be on-site.

Prudential is required by state specific laws to include the salary range for this role when hiring a resident in applicable locations. The salary range for this role is from $78,700.00 to $117,300.00. Specific pricing for the role may vary within the above range based on many factors including geographic location, candidate experience, and skills.
