JOB SUMMARY

The Shipping Coordinator is responsible for managing all aspects of domestic and international bulk wine logistics at TWG, Ripon winery. This role ensures the accurate and timely coordination of inbound and outbound bulk wine shipments, including imported wine receiving, domestic transfers, and inter-facility movements. The coordinator plays a vital role in maintaining compliance with regulatory requirements, internal documentation standards, and company timelines while ensuring smooth communication between shipping partners, internal departments, and regulatory agencies.
The ideal candidate has strong organizational and communication skills, thrives in a fast-paced production environment, and possesses a solid understanding of wine logistics, transportation regulations, and inventory tracking systems.

ESSENTIAL FUNCTIONS

  • Coordinate all inbound and outbound bulk wine shipments, including domestic transfers, imports, and exports, ensuring on-time scheduling and delivery.
  • Serve as the primary point of contact for carriers, freight forwarders, and third-party logistics providers for all bulk wine transportation activities.
  • Schedule receiving appointments and prepare the winery for incoming bulk wine loads, including necessary equipment, personnel, and documentation.
  • Verify and process all shipping and receiving documentation, such as Bills of Lading, Certificates of Analysis (COAs), customs paperwork, and weight tags.
  • Ensure compliance with all regulatory requirements, including TTB, FSM, and international import/export documentation and reporting.
  • Collaborate with the scale house, cellar, logistics, and compliance teams to ensure accurate movement records and system updates.
  • Track and reconcile bulk wine inventory in internal systems (e.g., JDE or other platforms) and resolve discrepancies promptly.
  • Maintain accurate shipping logs, inventory records, and documentation for audit readiness and traceability.
  • Communicate regularly with winemaking, logistics, and production teams to align scheduling with operational needs.
  • Respond quickly to scheduling changes, shipping delays, or logistical issues, escalating concerns to management as needed.
  • Support continuous improvement efforts by recommending and implementing process efficiencies in the bulk wine shipping workflow.
  • Manage, distribute, and maintain archives of bulk wine reports and transactions.
  • Audit Import Container or domestic schedules to ensure Bottling Schedule requirements are met.
  • Other report creation based on Bulk Wine and Logistics data, as needed.

  • Assist in developing and maintaining SOPs related to bulk wine shipping, receiving, and documentation processes.
  • Monitor carrier performance and freight costs and assist with vendor evaluations or freight claims when applicable.
  • Provide cross-training and support to the logistics or compliance teams during peak periods, vacations, or absences.
  • Generate routine reports on bulk wine shipments, inventory movements, and receiving trends for management and compliance reporting.
  • Coordinate bulk wine returns or rework shipments, ensuring documentation is properly updated in the wine tracking system.

QUALIFICATIONS

  • High school diploma or equivalent required.
  • Minimum of 3-5 years of experience in shipping, logistics, or inventory coordination, preferably in wine, beverage, food production.
  • Experience coordinating bulk product shipments, including domestic and international (import/export) movements, highly preferred.
  • Familiarity with TTB regulations, wine compliance documentation, and shipping documentation (e.g., BOLs, COAs, customs paperwork).
  • Proficient in inventory systems (e.g., JDE, Oracle, SAP, or similar wine tracking software).
  • Skilled in Microsoft Office Suite, especially Excel (filters, pivot tables, spreadsheets for tracking inventory/shipping).
  • Comfortable working with data systems, digital filing, and reporting tools.
  • Strong understanding of transportation logistics, freight scheduling, and warehouse coordination.
  • Excellent attention to detail, time management, and organizational skills.
  • Strong written and verbal communication skills for coordinating with carriers, vendors, and internal teams.
  • Ability to prioritize and adapt in a fast-paced, high-volume production environment.

PHYSICAL DEMANDS

  • Ability to perform tasks requiring bending, stooping, standing, and twisting in a production and office environment.
  • Working environment includes both indoor office settings and outdoor winery facilities, with exposure to equipment and noise levels.

 

COMPENSATION

  • Hiring Hourly Range Posted: $19.52 - $29.33.
  • Actual compensation will be based on factors such as experience; skills, knowledge, and abilities; education; and other position related factors.
